Medical Compliance Manual — SOP Highlights
The four foundational protocols — non-negotiable standard operating procedures:
HIPAA Protocol (Data & Physical Security)
Drivers are strictly prohibited from leaving a vehicle unlocked while containing any medical specimens or documents. Smart devices utilized for electronic Signatures and Proof of Delivery (POD) must be password-protected and utilize encrypted logistics software. No patient names or protected health information (PHI) may be photographed or transmitted via personal text/social media.
Bloodborne Pathogens (BBP) — Leaking Specimen SOP
In the event of a compromised or leaking specimen container, the driver must execute the Seal, Sanitize, Notify protocol immediately:
- Seal: Don protective gloves from the onboard spill kit and isolate the leaking container within a secondary biohazard bag.
- Sanitize: Clean the affected vehicle surface using medical-grade disinfectant wipes.
- Notify: Contact dispatch immediately to log the incident and alert the receiving laboratory of the compromised package status.
Cold-Chain Integrity Protocol
For all frozen, refrigerated, or ambient tissue and specimen transport, drivers must log internal cooler temperatures at 15-minute intervals using the integrated digital vehicle thermometer. Any temperature deviation outside the contracted threshold requires immediate contact with dispatch to initiate a backup cooling protocol.
Chain of Custody Standard
A transport never relies on verbal confirmation. Every hand-off — from the initial clinic pickup to the final laboratory tier delivery — requires a timestamped digital signature and barcode scan. The digital manifest acts as the legal chain of custody documentation.
